The Messages page lets administrators, managers, pet sitters, and clients talk inside the portal without sharing personal email addresses. Messages appear instantly in the Notifications panel and, by default, are also copied to the recipient’s email so no one misses a note.


Configuration (Communication › Communication Settings)

  • Messages

    • Staff Only – clients receive messages by email but cannot read or reply in the portal.

    • Staff & Clients – everyone can read and reply inside the portal.

  • Company Message Box

    When ON, clients write to Management instead of choosing a specific administrator or manager; all managers see—and can reply to—those threads.


Sending Messages

  1. Open Communication › Messages and select New Message.

  2. Send To options:

    • a single recipient,

    • multiple staff,

    • multiple clients,

    • a Client Segment (see [Client Segments]), or

    • a Staff Segment (see [Staff Segments]).

  3. Optional: set a Schedule date/time for the portal to send the message later.

  4. Compose your message, add any attachments, and Send.


For visit-specific communication (visible on the schedule) consider using a Visit Note instead.


Sitters ↔ Clients


Pet sitters can start conversations with their own clients—ideal for clarifying details before a visit.

  • Business Settings › Clients › Clients can see Sitters must be On.

  • Every sitter-to-client message is automatically copied to management.


Group conversations with a primary/secondary sitter


When messaging a single client who has a Primary or Secondary sitter, choose Group Conversation with Primary/Secondary Sitter. Everyone in the thread—client, primary sitter, secondary sitter, and management—sees all replies, keeping the whole team in sync.


Archive Messages (Administrators & Managers only)


Need to clear a crowded Inbox without deleting history? Administrators and managers can move any Message to the Archive tab:

  1. Go to Communication › Messages › Inbox.

  2. Select the Message(s).

  3. Choose Archive from the Actions menu.


Archived threads disappear from the Inbox but remain searchable and can be restored at any time via Unarchive inside the Archive tab.
