Ongoing visits let you enter a client’s repeating routine once and let the portal keep it going—ideal for mid-day walks, weekly visits, or any “until further notice” pattern.


How the lookahead window works

The lookahead (set at Business Settings › Time & Scheduling › Ongoing Schedule Lookahead) tells the portal how far into the future to build visits each day at the Processing Time.

  • Example – Lookahead = 60:

    • Today the portal keeps each active series built out to today + 60 days.

    • Tomorrow it checks again and extends to tomorrow + 60 days, and so on.

If you try to start an ongoing series past the current lookahead, the portal will refuse—first create visits within the window or increase the lookahead value.


Creating an ongoing series

  1. Add visits in Scheduling › Master Schedule › ➕ New.

  2. Under Dates check Ongoing (no end date).

  3. Choose Repeat › Weekly, Daily, Every Other Week, etc. (any pattern you need).

  4. Save.  The portal generates visits from the start date through the end of the lookahead window and tags each visit with the black arrow [ongoing-icon].

Each service / time-block pair you add is stored as its own ongoing series, so you can pause or modify them separately later.


Client requests: Clients can create their own ongoing schedules from My Schedule—unless you switch off Business Settings › Additional › Allow clients to request ongoing visits.

Editing, pausing, or cancelling

Click the(either on a visit or at the top of the client’s Schedule tab) to open the Ongoing Series editor.

  • Change pattern, sitter, notes, or choose an Effective Date that tells the portal when the new rules start.

  • Set Status › Canceled to stop new visits; the icon turns gray

“Ghost” previews for future dates

  • Client profile › Schedule tab – translucent “ghost” visits show the pattern beyond the lookahead so office staff (and, if enabled, the client) can see what’s coming.

  • Ghosts do not appear on the main Master Schedule until they enter the real lookahead window.
